Your school and team documents carry their expiry date. A job runs every day and warns you at thirty, fourteen and seven days out, and again on the day it expires.

It runs once a day and looks at everything that has a date. It is not a reminder somebody set: it is the system asking itself, every day, whether anything is running out.
At thirty days, at fourteen and at seven. Three warnings, because a single one always lands on a day you are busy — and then again on the day it actually expires.
A school with valid insurance shows it to whoever books. When the document lapses, the badge goes — it does not keep claiming something that is no longer true.
